Primary Function: Provide full administrative support to the Director and Co-Director of the Nemours Cardiac Center and Chief, Cardiothoracic Surgery. In this capacity, the position will organize and execute the directives for these medical leaders and requires complex and independent decision-making skills. In addition, the administrative assistant will be responsible for coordinating and expediting the completion of cardiac surgical cases performed at the Nemours Cardiac Center and affiliated hospitals. High performance is required to ensure all of the cardiac center divisions noted above perform at a high level of efficiency and effectiveness.
Provide full administrative support to the Director and Co-Director of the Nemours Cardiac Center and Chief, Cardiothoracic Surgery. Maintain CV’s with updated information, track CME credits, maintain records and applications for faculty appointments, arrange all aspects of travel, meeting preparation including registration and itinerary, and presentation preparation. Process expense reimbursements reflecting adherence to center budget codes and policies. Complete communications (letters, reports, memos, forms, etc.).
Maintain schedule of appointments; complete various communications (memos, letters, reports, etc.); coordinate travel arrangements including international travel for the Director and Co-Director of the Nemours Cardiac Center and Chief, Cardiothoracic Surgery.
Coordinate surgical cases performed at the Nemours Cardiac Center receiving requests from local, regional, national, and international hospitals and cases performed at affiliated hospitals. Arrange for pre-op visit if needed, provide admissions department with timely information, and contact families with accurate information. Enter detailed admission information in Cardiac Center’s database, EPIC and create case in Optime.
Schedule postoperative appointments and communicate appointment details to outpatient staff. Coordinate surgical and fetal consultations.
Assist in the preparation and coordination of travel itineraries and interviewing schedules for potential candidates and visitors to the Nemours Cardiac Center.
Maintain CV of the Director and Co-Director of the Nemours Cardiac Center and Chief, Cardiothoracic Surgery with updated information and enter physician CME credits into Cardiac Center credentialing database.
Coordinate, prepare and maintain medical information and data for the application of evidence based medicine to improve the learning opportunities and patient outcomes within the Cardiac Center and the Department of Anesthesia and Critical Care Medicine. These learning opportunities will include case presentations, journal club, seminars, and lectures.
Complete and maintain records and applications for faculty appointments, professional medical societies, participation in national and international conferences, etc for the Director and Co-Director of the Nemours Cardiac Center and Chief, Cardiothoracic Surgery.
Provide cross coverage in the cardiac administrative areas as directed by manager.
Attend cardiac support staff regular meetings and participate in administrative staff daily huddle.
Bilingual – Spanish/English (fluent in writing and speaking) - required
High School/GED required
An Associate’s Degree or higher preferred
Five years of administrative/senior level experience
Excellent organizational, work planning, and follow-through skills
Ability to prioritize and handle multiple tasks.
Ability to anticipate the needs of the Director and other leadership staff
Advanced skills in Microsoft Office - Word, Excel and Powerpoint
